FAQ – Exam Matters
Welcome to the FAQ portal, designed to help you navigate the examination related matters of your PG journey, from thesis submission to final examination.
Whether you are preparing for your viva voce, inquiring about progress reports, or checking candidature requirements, you will find the most common queries addressed in the sections below. We aim to provide clear guidance to ensure your examination process is as smooth as possible.

Thesis Submission for Examination
1) When can I submit my thesis for examination?
You may submit your thesis after receiving the Approval of Thesis Title letter from IPS.
2) How do I submit my thesis to IPS?
You may email ips@mmu.edu.my to inform us of your intention to submit your thesis and request a shared folder link. We will then provide you with the link to the shared folder, where you can upload all the required documents.
3) What are the documents that I need to provide?
The documents checklist for thesis submission are as below:
i) Completed Thesis Submission Form
ii) Payment Proof
iii) Similarity Index and AI Usage Declaration Form
iv) Publication Verification Form(s)
v) Letter of Thesis Title Approval
vi) Thesis Main Body and Turnitin Result
vii) Full Thesis (PDF format)
4) How much is the thesis examination fee?
Master (local) – RM750
Master (international) – RM900 (excluding the SST)
PhD (local) – RM2500
PhD (international) – RM3000 (excluding SST)
5) After I upload all the required documents, what is the next step/process?
We will review all the documents. If they do not meet the requirements, we will inform you accordingly. We will also conduct a format check on your thesis.
6) How long does the format checking take? What should I do next?
The format checking will take approximately three (3) working days. After reviewing your thesis, you will need to address all our comments and upload the revised thesis to the shared folder. You must inform us that you have revised and uploaded the thesis so that we can proceed.
7) When does IPS send our thesis to the examiners?
We will send your thesis to the examiners after you have completed the required revisions.
8) When can you arrange my viva?
We will arrange your viva after receiving all examiner reports.
9) My visa will expire soon. Can I submit my thesis?
You must ensure that your visa remains valid when submitting your thesis. You are not allowed to submit your thesis if your visa has expired. Please contact the International Students Centre (ISC) for further advice.
Final Thesis Submission After Viva
1.) How do I submit my final thesis?
You may email ips@mmu.edu.my to inform us of your intention to submit your final thesis. We will then provide you with a link to the shared folder for uploading the required documents. *Take note that the link to submit thesis is different from the previous one, so do not overwrite the files.
2) What documents do I need to provide for final thesis submission?
The checklist for final thesis submission is as follows:
i) Full Thesis
ii) Form A-B (verified by your Supervisor and Co-Supervisor)
iii) Similarity Index and AI Usage Declaration Form
iv) Publication Verification Form(s)
v) Main Body of Thesis
vi) Turnitin Result
vii) Proofreading Certificate (if required)
3) Will IPS conduct format checking for my final thesis?
Yes, we will conduct format checking for your final thesis.
4) Do I need to submit hardbound copies?
No, you are not required to submit hardbound copies.
5) What should I submit for my final thesis after completing the revisions?
Once you have received confirmation from IPS to proceed with the final submission, you are required to submit the following items to the IPS Office:
i) Form A-B (duly verified by the Supervisor and Co-Supervisor. For minor amendments, verification is required. For major amendments, the revised thesis must first be checked and confirmed by your Supervisor and Co-Supervisor. Once Form B has been signed, the thesis should be sent to the appointed examiner.)
ii) Similarity Index and AI Usage Declaration Form
iii) Publication Verification Form(s)
iv) Proofreading Certificate (if required)
v) One (1) USB drive with a properly labelled cover containing the final thesis.
**Hardcopy items submission is applicable to all PG candidates registered before 2024. Candidates registered in 2024 onwards can submit softcopy for items 1-3.
***Any other portable device (e.g., thumb drive) is allowed – with proper detail cover.
6) Will I receive an acknowledgement after submitting my final thesis?
Yes, we will send an acknowledgement email to confirm receipt of your final thesis submission.
7) My visa will expire soon. Can I proceed with final submission?
You must ensure that your visa remains valid at the time of final thesis submission and until the completion of your studies. If your visa has expired, you will not be allowed to submit your thesis. Please contact the International Students Centre (ISC) for further advice.
